Accounts Payable Specialist - Procurement Card (P Card) and T&E Administrator

 

An opportunity has arisen for an Accounts Payable Specialist – P Card and T&E Administrator with Glanbia Business Services.  This is a permanent role and will report to the Accounts Payable Manager.

 

While likely to be initially working remotely due to current restrictions, the base location of the role will be Aurora, Illinois ,upon return to the workplace with a blended working arrangement available through our smart working model which allows you a greater choice in how you work and live, giving you a better work-life balance.

 

The (P Card) and T&E Administrator contributes to the success of Shared Services and the Accounts Payable function by enhancing and supporting the services that we provide in our ongoing partnerships and alliances with the business units, finance partners, and corporate functions.  The administrator strengthens efficiency of internal operations to deliver optimum service, monitor expenses, and support Glanbia business operations.

 

The primary responsibility of the P Card Administrator is to lead the P Card and T&E programs by promoting and monitoring the processes.  This role will manage these processes end-to-end, identifying opportunities for improvement, setting program performance goals, maintaining program metrics, facilitating program training, and coaching to the Shared Services policies.  Additional duties include support of overall AP department and activities as required. 

 

 

Key deliverables of the role

  • Manage requests for P Cards and administer cards to cardholders, gaining appropriate approval for and applying appropriate thresholds for monthly spend. 
  • Follow up with P Card holders who have not submitted the supporting documentation through the Concur Expense system within the expected timeframe.
  • Serve as the liaison between the internal stakeholders and the banking institution to resolve any disputes, maintaining strong, positive working relationships with both stakeholders.
  • Monitor P Card limits and escalate unauthorized charges or suspicious activity to the relevant managers.
  • Manage change request limitations or restrictions on cards.
  • Understand and follow the service level agreements, escalating issues to the relevant parties as necessary.
  • Audit reports for compliance with the P Card program (e.g. providing supporting receipts, use of card for appropriate spend categories).
  • Prepare and review month end and quarterly reports inclusive of P Card transactional activity analysis.
  • Make recommendations to develop or enhance controls and business process to support compliance with policy, risk reduction and fraud detection. 
  • Perform additional duties as needed such as reviewing expense reports and providing support to daily Accounts Payable activities as needed.

 

 

What background and experience are we looking for?

 

Qualifications

  • Bachelor’s degree or equivalent combination of education and experience.

                                                                                                                                

 

Skills & Experience

  • 2 years Advanced Microsoft Office and Excel experience, SAP experience preferred
  • Exemplary interpersonal/customer service skills
  • 2 years Concur Expense Management and/or Procurement Card experience.
