Legal Operations Manager

Reporting to the SVP & General Counsel, the Legal Operations Manager will work closely with the SVP & General Counsel and the legal team to support the global Legal Department by assisting in the management of departmental priorities, strategic plans, budgets and execution of key initiatives. This position will be responsible for providing support for the financial, operational, and technical functions of the Legal Department, such as outside counsel billing and vendor management; annual and project budgeting; monthly financial accruals and key performance metrics reporting, and identifying, developing and managing new technology, processes, data metrics and initiatives which enhance the overall efficiency and functioning of the Legal Department. 

 

Duties and Responsibilities

• Manage legal vendor billing and payments, ensuring proper cost controls and timely processing against internal company codes and cost centers.

 

• Conduct necessary analytics to optimize efficiency and reduce legal spend while ensuring quality services.

 

• Develop and implement key performance metrics, bench-marking and reporting for the Legal Department based on best practices, including dashboards for tracking and reporting departmental activity to the SVP & General Counsel and the senior legal leadership team on a regular basis.

 

• Identify opportunities to improve processes, share best practices, and improve efficiency with the Legal team’s organizational structure, systems, technologies and controls

 

• Develop, implement, and manage matter specific budgets and vendor cost reduction strategies, including fee arrangement, payment processes, and governance of billing guidelines

 

• Build strong relationships within the Legal team and other cross-functional stakeholders, including Finance, IT, and other operational teams.

 

• Develop and maintain standard operating procedures and policies as necessary for the efficient operation of the legal department.

 

• Promote the Legal team’s professional development and brand, including maintaining compliance with State Bar requirements and managing CLE requirements, and developing and managing processes for Legal team members and managers

 

• Identify, evaluate, and manage the successful implementation of new or improved technology solutions for the legal department, including automated workflows; contract management, review, approval and signatures; trademark docketing and IP management; advertising and labeling review and approval; and group communication platforms.

 

• Support and manage various ad hoc projects within the team as needed

 

• Oversee the legal department’s knowledge management functions by developing and overseeing systems and technology for efficiently creating, storing and sharing knowledge, inclusive of legal library, forms library, and knowledge sharing systems.

 

• Manage record retention policies, and legal training initiatives record keeping and compliance.

 

 

Experience:

  • Minimum of 6 years of demonstrated expertise in legal billing; legal technology tools/project management; process improvement; and vendor management. Prior background in these areas for legal departments or law firms required.
  • Effective use of communication skills, both oral and written, in order to present, influence and persuade others inside and outside of the organization.
  • Strong relationship management skills, including team building, relationship management, negotiating, change management and conflict resolution. Approaches issues with a customer service mindset.
  • Proficiency with SAP and Microsoft Office programs, including Word, Excel, and PowerPoint.
  • Must demonstrate the highest degree of confidentiality and integrity.
  • Exceptional attention to detail and excellent organizational skills.
