Operations Administrator

Overview

The Operations Administrator will provide administrative and operational support to the Human Resources function while serving as a key resource for training coordination, employee engagement, attendance administration, and site-wide HR activities across three locations.

This role is responsible for ensuring efficient day-to-day operations of the office while providing high-level administrative support to site leadership. This role serves as the first point of contact for visitors and employees, coordinates office services and events, and works closely with Human Resources, Operations, Warehouse, EHS, Finance, and site leadership to ensure consistent execution of people-related processes and administrative requirements across all three sites.

Primary Responsibilities

HR Operations & Administrative Support

  • Provide day-to-day administrative support to the HR Business Partner and site leadership.
  • Maintain confidentiality of employee, HR, payroll, and business information.
  • Prepare, organize, and scan employee and HR-related documentation.
  • Assist with HR data entry, reporting, tracking, and recordkeeping.
  • Support employee communications,
  • Coordinate meetings, calendars, and administrative activities as needed.
  • Serve as a professional and responsive point of contact for employees, leaders, visitors, and vendors.
  • Welcome visitors and provide professional customer service support.
  • Answer and direct phone calls, emails, and other correspondence.
  • Manage office supplies and coordinate orders when necessary.
  • Organize meetings and company events, including booking venues and coordinating company meals.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Assist with EHS administrative activities and data entry.

 

Attendance Administration — Three Sites

  • Support consistent administration and tracking of attendance policies across all three sites.
  • Maintain accurate attendance records and tracking reports for employees.
  • Partner with site leaders to identify attendance violations and ensure appropriate follow-up.
  • Track attendance occurrences and monitor employee attendance status against established policy.
  • Generate attendance-related documentation and write-ups based on established company policy and information provided by leaders.
  • Ensure attendance documentation is completed accurately, consistently, and timely.
  • Provide leaders with visibility into attendance trends, outstanding documentation, and employees approaching attendance thresholds.
  • Escalate attendance-related questions or complex employee situations to the HR Business Partner or appropriate HR leader.

 

Warehouse Training Coordination

  • Coordinate training activities for warehouse employees, including scheduling, communications, materials, and documentation.
  • Maintain accurate training records and completion tracking for required and role-specific training.
  • Partner with warehouse leaders and trainers to identify upcoming training needs and scheduling requirements.
  • Coordinate new hire and refresher training activities.
  • Track overdue, upcoming, and completed training and communicate status to appropriate leaders.
  • Support continuous improvement of the warehouse training process.

 

Employee Engagement & Site Events

  • Assist HR and site leadership with planning and execution of employee engagement activities across all three sites.
  • Coordinate logistics for employee events, recognition activities, celebrations, and site engagement initiatives.
  • Assist with event communications, food/catering, supplies, vendors, room setup, and other logistics.
  • Maintain an engagement calendar across all three locations.
  • Support consistent employee experience and engagement activities across sites.
  • Assist with tracking participation and gathering feedback following engagement activities.
  • Partner with HR and site leaders to identify opportunities to improve employee engagement.

 

Qualifications

  • High school diploma or equivalent.
  • Minimum 2 years of administrative, HR, office management, training coordination, or related experience.
  • Strong organizational and time-management skills.
  • Ability to manage multiple priorities across multiple locations.
  • Strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Proficiency with Microsoft Office, particularly Outlook, Word, PowerPoint, and Excel.
  • Ability to work effectively with employees and leaders at all levels.
  • Strong customer service and interpersonal skills.
  • Ability to work independently while knowing when to escalate issues to HR and Site leadership.
