Job Summary

Operate the switchboard and serve as the "official greeter" of the corporate office, as well as perform many clerical duties.

 

 

Essential Functions

  • Serve as the first point of contact: Greet all visitors and direct them to the appropriate employees or departments in a professional and welcoming manner.
  • Manage incoming communications: Answer and route telephone calls efficiently, ensuring inquiries are addressed or referred to the correct staff member.
  • Coordinate meetings and events: Schedule meetings, organize catering as needed, and ensure meeting spaces are prepared for use.
  • Maintain office communications: Update digital displays (such as the lobby TV screen) with relevant information and announcements.
  • Ensure reception coverage: Arrange for backup coverage during any absence from the reception desk, whether for short breaks or scheduled time off.
  • Handle mail and deliveries: Receive, sort, and distribute incoming mail; coordinate express mail services (FedEx, UPS, etc.); and prepare shipping labels for outgoing packages.
  • Order and manage office supplies: Monitor inventory and order office, kitchen, and other necessary supplies to support daily operations.
  • Oversee office equipment: Ensure copiers, fax machines, postage meters, and other equipment are maintained and operational; coordinate repairs as needed.
  • Maintain contact lists: Update and distribute internal phone lists as needed.
  • Maintain a tidy workspace: Keep the reception area and mailroom organized and presentable at all times.
  • Liaise with building management: Act as the point of contact for property or facilities management issues.
  • Order business materials: Coordinate the ordering of business cards, stationery, envelopes, and related materials.
  • Uphold professional appearance: Maintain a neat and well-groomed appearance in accordance with company standards.
  • Prepare administrative documents: Create and maintain spreadsheets and other documents to support office operations.
  • Oversee the Twin Falls office badge program: process badge requests, coordinate photo capture, manage access permissions, and maintain badge inventory. Provide badge support to the Idaho Plants as needed.
  • Support New Hire Orientation: Prepare/distribute materials, gather completed paperwork, and photograph hires for badges.
  • Support the Cheers and Service Award Program logistics and recognition activities.
  • Post and maintain Idaho labor law posters to ensure federal and state compliance.
  • Provide project support as assigned.
  • Support community outreach and engagement initiatives.
  • Each employee shall comply with occupational safety and health standards and all rules, regulations, and orders issued pursuant to the Occupational Safety and Health Act which are applicable to his/her own actions and conduct.
  • Complies with all applicable food safety regulations and mandates (Safe Quality Foods, Food and Drug Admin, Pasteurized Milk Ordinance)

Qualifications

  • Requires a High school diploma or general education degree (GED); or a minimum of one month related experience and/or training.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write/type simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.
  • Ability to prioritize tasks and handle multiple projects simultaneously.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
  • Intermediate personal computer skills, including electronic mail, routine database activity, word processing, spreadsheet, graphics, etc. Proficient in MS Word, Outlook, Excel, Internet/Intranet, Power Point
  • Comply with all safety policies, practices, and procedures. Report all unsafe activities to supervisor and/or Human Resources
  • Participate in proactive team efforts to achieve departmental and company goals.
