JOB SUMMARY

 

Supports the Quality Assurance department in all aspects of office and administrative duties to help meet the department’s goals.

 

ESSENTIAL FUNCTIONS

Responsibilities:

 

    • Performs filing and scanning duties for the department.
    • Maintains (scans and files) archived files for RM, FO8 and CB (Pre-blends)
    • Retrieves and files batch sheet folders used for audits and investigations.
    • Retrieves and files retain samples for investigations.
    • Composes internal correspondence and e-mails.
    • Updates and maintains QA Spreadsheets as needed. (i.e. NCR, Pathogen Monitoring, Allergen, Water)
    • Files pest control records.
    • Prepares, labels and sends out environmental (pathogen monitoring) swabs.
  • Performs word processing as required.
  • Performs data entry as required.
  • Maintains inventory of swabs.
  • Archives equipment log books.
  • Participates in committee activities as needed/requested.
  • Assists QA department with meeting minutes as appropriate.
  • Assists QA department wherever data entry, filing, and typing is needed (CAPA Documentation, SOP/WI Documentation, HACCP, NCR’s, etc.)
  • Checks work periodically and upon completion for accuracy.
  • Participates in attaining quality departmental goals and objectives by performing job requirements at the highest level of accuracy.
  • Works in a productive/efficient manner.
  • Performs job duties in compliance with the company’s standard operating procedures, and or quality system.
  • Maintains an organized and neat work area.
  • Other duties as required/assigned.

 

QUALIFICATIONS

 

Education, Training:

 

  • Minimum experience - 2 years as an office clerk, management assistant, receptionist with administrator duties or related work.
  • Preferred experience – 2 years as an office clerk working in a busy department.
  • Diploma or GED from an accredited high school or technical school.
  • Must be able to speak, read and write English.

 

Knowledge, Skills, Competencies:

  • Proficient user of windows based computer programs including word processing, spreadsheet, data management, internet and e-mail.
  • Excellent verbal communication skills.
  • Excellent phone skills including etiquette.    
  • Strong communication, organization, and time management skills.
  • Able to multi- task and bring tasks to closure.
  • Demonstrated effective attention to detail and follow through techniques.
  • Organized, professional, and self motivated
  • Must have excellent decision making and reasoning skills.
  • Must have excellent written and oral communication skills.
  • Must be professional, organized, thorough, and self motivated.
  • Ability to prioritize tasks, and handle multiple tasks.
  • Excellent typing/data entry skills.
  • Able to file alphabetically and numerically.
  • Able to work with minimum supervision.
  • Able to enter information into the computer accurately.

Physical Requirements:

 

  • Regularly required to lift up to 5 pounds throughout the week.
  • Occasionally required to lift up to 15 pounds throughout the week.
  • Computer typing is required throughout the day.
  • Regularly required to move and file papers generally within an office area.
  • Regularly required to use a telephone. 
  • Regularly required to sit, stand, reach, bend and walk throughout the day.
  • Regularly required to ascend and descend a full flight of stairs.
  • May be required to go on the manufacturing floor.
