Office Manager – Belview

12 month contract

The Office Manager is responsible for the day to day office management and facility management within the Belview site, including vendor management where appropriate. They will have a deep understanding of the site and its workforce


Key Responsibilities

  • Manage the office budget for the site
  • Manage internal and external site visits and audits including coordination of people, organising refreshments and PPE
  • Responsible for vendor management of suppliers and support services. This includes but is not limited to: Catering and Food Supplies, Couriers, Stationary, Storage, Confidential Secure waste disposal, and Waste and Recycling for canteen.
  • Responsible for general facilities for Belview, including Landscapers, window cleaners, canteen cleaners, and the main contact for the IDA attending bi monthly meetings
  • Manage the Uniform contract for the site, organising the renewal of the contract, managing the deliveries and main contact for the service manager.
  • Responsible for the smooth running of the office.
  • Ensure prompt and accurate management of purchase orders and weekly review of the liv-log.
  • Diary management and meeting support for senior management
  • Coordinate off site events such as staff Christmas party/summer BBQ and meetings and ensure they run smoothly
  • Build and develop effective relationships with key stakeholders and be comfortable working across all levels.
  • Organise Weekly roster for all sites
  • The main contact for other sites/branches and security regarding any general enquires
  • Arrange senior management meetings and track actions to completion
  • Support vendors to deliver services on time and within budget.
  • Ensure vendor KPI’s and SLA’s are consistently achieved through periodic reporting and management meetings.
  • Assist the different onsite departments eg Health and Safety week, onsite interviews, marketing etc
  • Continually assess contracts to ensure best value delivered to the client.
  • Seek ways to reduce costs and improve operational standards.
  • To attend all location management meetings and any company meetings as required.
  • To act as a positive ambassador for the business



Key Requirements & Competencies

  • Self-motivated; confident & energetic.

  • A strong communicator – good presentation skills and possess strong verbal & written communication skills
  • Able to cooperate and work well with others to meet targets.
  • Support the team effectively as and when needed.
  • Able to interact with the general client staff & vendors with ease.
  • Ability to manage conflict and conflicting priorities.
  • Demonstrates ability to prioritize and manage the completion of projects in an efficient and timely manner.


  • Previous office management experience
  • Facilities management experience
  • Proven ability to manage multiple and complex operational matters daily.
  • Demonstrates ability to work with vendors to deliver efficient services
  • Demonstrates ability to negotiate price and contracts.
  • Strategic planning and time management experience is an advantage
