Facilities Administrator (fixed term)

 

An opportunity has arisen for a Facilities Administrator with Glanbia plc.  This is an 8 month Fixed Term Contract (Maternity Cover) position based in our Waterside, Citywest, Dublin 24 office and will report to the Property Services Manager.

Key Elements of the Role

  • Act as first point of contact for all incoming queries (phone, email, face to face)
  • Front office meeting, greeting and signing in of internal and external visitors
  • Management of both planned, preventative and reactive maintenance for the building including liaising with contractors, service providers and internal stakeholders to manage all works that need to be carried out within the building.
  • Monitor and maintain Health & Safety standards and procedures for the building
  • Management of the courier system which includes arranging vendors, post and packaging
  • Perform an extensive array of administrative tasks (manage calendars, book travel, and schedule facilities and rooms)
  • Ordering stationery, office supplies and other consumables using the Ariba/SAP systems for the building
  • Provide support to PAs on site
  • Assist with the completion of the operating cost budget, including budget re-forecasts and budget charge outs to the different Business Units
  • Credit control – processing and ensuring timely payment of invoices for the facility
  • Other ad hoc projects and duties as required

 

Skills & Experience

  • 2+ years of experience in an office environment
  • Proficient in IT, particularly the Microsoft Office suite
  • Experience of using SAP and Ariba systems a distinct advantage
  • Excellent verbal, conversational and written English skills
  • Ability to multi-task and manage multiple calls
  • A self-starter with excellent initiative
  • An exceptional level of professionalism is essential
