Job Summary

Provides administrative support for Human Resources and Transportation department.

 

Essential Functions

  • Clerical, administration and project support as needed or requested
  • Provide support with phone screens, interviews, and general recruiting duties
  • Support onboarding activities for new hires
  • Maintain DOT files and audit to ensure complete and accurate files at all times
  • Assist with attendance and disciplinary tracking
  • Conduct exit interviews to determine reason behind separations
  • Coordinates the quarterly random controlled substance testing program
  • Update department communications through TVs, flyers in break rooms
  • Oversee and track boot vouchers
  • Interact with employees to ensure safety and safe behavior
  • Respond to inquiries regarding policies, procedures, and programs
  • Assist in payroll activities and compiling attendance forms and vacation requests
  • Initiates record changes for employees in relation to manager, pay, schedule, position and other changes
  • Assist with the service award program and coordinating appreciation meals
  • Train out new and existing processes i.e, electronic logging, mobile app, DOT inspections on tablets for current and new employees
  • Maintain training tracker for Transportation department
  • Coordinate with USDA for Bulk Haulers certifications
  • Track the equipment inspections and certifications and coordinate with equipment manager
  • Conduct audits to ensure SOP's are being followed
  • Manage relationships with 3rd party vendors and coordinate ordering supplies and uniforms
  • Coordinate the payment for overweight tickets and other road violations
  • Coordinate the appreciation meals and ordering the gifts-engagement activities
  • Keep abreast on FMCSA/DOT/USDA regulations and dairy industry changes
  • Demonstrate professionalism in verbal and written communication and in behavior.
  • Model Glanbia values, policies and procedures.

 

 

Additional Functions

  • Perform other duties as assigned
  • Escalate any employee complaints to HRBP and or management for resolution.
  • Benefit questions regarding disabilities, interactive process, LOA, FMLA will need to escalate to HRBP.
  • Coordinate offsite trainings

 

 

 

 

Qualifications

  • Requires a High school diploma or general education degree (GED); or a minimum of one year related experience and/or training.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write/type simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

 

  • Ability to prioritize tasks and handle multiple projects simultaneously.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
  • Comply with all safety policies, practices and procedures. Report all unsafe activities to supervisor
  •  Participate in proactive team efforts to achieve departmental and company goals.
  • Proficient in MS Word, Outlook, Excel, Internet/Intranet

  • May be exposed to moderate noise levels (i.e. office equipment and light traffic).

 

Travel Requirements

  • Minimal overnight travel by land and/or air.
